How much does FillDesk Pro cost?
A one-time license: $999 for the delivery platform or $1,499 with the optional HVAC module, plus a flat $149 a year for hosting, daily backups, and compliance updates. There are no per-user or per-truck fees and no monthly subscription.
Do I have to install anything?
No. FillDesk Pro is hosted — you log in from any web browser. Your drivers open a web link on their phone and add it to the home screen; there is no App Store download and no Apple developer fee.
What happens if my driver loses signal on a rural route?
The driver app is offline-first. Your driver can complete an entire day — every delivery, photo, and signature — with no signal at all. Tickets queue on the phone and sync automatically the moment service returns, even through a phone restart. Nothing is lost.
How does the degree-day forecasting work?
FillDesk Pro pulls daily temperatures from the US National Weather Service and NOAA and tracks a per-customer K-factor (gallons per degree day) that recalibrates automatically after each delivery. A daily fill report ranks who needs a delivery. The forecast is a real computed value, verified in production.
What compliance does it actually handle?
Pre-trip DVIR inspections per 49 CFR 396.11 and 396.13, with a failed inspection blocking the route until the defect is certified; per-cylinder DOT requalification tracking under 49 CFR 180.209; and lien notice and filing deadline tracking with notice-template generation (a tracking tool, not legal advice).
Can it read my tank monitors?
Yes. FillDesk Pro ingests telemetry from Otodata, Smart Oil Gauge, and Tank Utility (via a poller or the generic webhook) and compares the live reading against the K-factor forecast, flagging divergence so a stuck gauge or a usage change is caught early.
Can I import my existing customer list?
Yes. Upload a CSV of customers, tanks, and K-factors during setup, or let us start from your last season of deliveries. Your weather location is provisioned automatically from your company address, with three years of degree-day history backfilled.
Is my data safe, and is it mine?
Every dealer's data is isolated to their own account at the database level, with daily automated backups. You can export your entire dataset to CSV or JSON at any time. If you ever leave, your data goes with you.
Who is FillDesk Pro not for?
Very large or multi-branch distributors with thousands of customers and dedicated IT. FillDesk Pro is built for independent dealers with roughly 100–800 customers and 2–15 trucks. During the free pilot we will tell you honestly if a heavier platform fits you better.
Still deciding?
The honest answer to "will this work for my dealership?" is a three-month pilot on your real routes. It costs nothing and there is no card on file. FillDesk Pro is deliberately focused on delivery, forecasting, and compliance for small dealers. It does not currently include advance-purchase or capped-price fuel plans, level monthly even-payment plans, automated fuel-excise tax calculation or excise-return exports, a homeowner web login, or advanced receivables tools such as automated late-fee assessment and end-of-day driver cash totals. If those are central to how you operate, a heavier platform may serve you better — and during a pilot we will tell you honestly if that is the case.
